Pricing & Model

Is there really no cost to use HOAScout?

Correct. HOAScout is completely complimentary for HOA boards. We are compensated by management companies ONLY when they are successful at earning your business. We value quality matches over linking you with the management company that is willing to pay the highest amount for your information. You pay nothing, ever.

How does HOAScout make money if the service is free?

Management companies pay us a referral fee only when they successfully win your business. This model keeps us aligned with your interests — we are incentivized to find you a company that actually fits, not just the highest bidder. If none of the matches work out, nobody pays us anything.

Does the referral fee affect the pricing I receive from management companies?

No. Management companies factor referral fees into their marketing budgets, not into your contract pricing. The proposals you receive from our matches reflect the same rates they’d offer if you contacted them directly. In many cases, boards actually get better pricing because companies competing for the same community tend to sharpen their pencils.

Getting Started

What information do I need to get started?

Just the basics: your name, the association name, approximate number of units, location (city and zip), and your role on the board. You can optionally share your current monthly assessment amount. The whole form takes under 2 minutes.

What happens after I submit my information?

After you submit the form, our team reviews your community’s details and matches you with 3 management companies that fit your needs. You’ll be contacted with your matches, typically within 24–48 hours. From there, you can schedule interviews, request proposals, and take as much time as you need.

How long does the matching process take?

Most boards receive their 3 matches within 24–48 hours. From there, you control the timeline. Some boards make decisions quickly, others take several weeks to interview and evaluate — we support whatever pace works for you.

Are we obligated to choose one of the 3 companies?

Absolutely not. There is no obligation whatsoever. If none of the matches feel right, you are free to walk away. Our goal is quality fits, not forced decisions.

Privacy & Data

Is my information shared with anyone besides the matched companies?

No. Your information is only shared with the 3 management companies we match you with — and only after you’ve been introduced. We never sell your data to lead aggregators or blast it out to dozens of companies. Privacy and a controlled process are core to what we do.

How Matching Works

How are the 3 companies selected?

We carefully vet management companies for reputation, experience, and service quality. Then we match you based on your community size, location, needs, and preferences. Each company offers different strengths and approaches, giving you meaningful choices.

What criteria do you use to vet management companies?

We evaluate companies on years in business, portfolio size, client references, geographic coverage, industry certifications (like CCAM or CMCA), technology platform, and financial stability. We also look at responsiveness and professionalism throughout our own interactions with them.

Can I request a specific type of management company?

Absolutely. If your board prefers a boutique firm, a larger company with more resources, or one with specific expertise (like high-rise condos or age-restricted communities), let us know. We factor your preferences into every match.

What if we are not ready to switch management companies yet?

No problem. Access our complimentary resources anytime — no matching required. Many boards use our educational materials to better work with their current management company or prepare for a future transition. When you’re ready, we’ll be here.

Why only 3 companies instead of more?

Research shows that too many choices lead to decision fatigue and worse outcomes. Three carefully vetted options give you enough variety to compare without overwhelming your board. Each match is selected for a reason — not just because they were willing to pay for the lead.

Why HOAScout

What makes HOAScout different from other lead generation sites?

We limit matches to 3 pre-vetted companies instead of 5+ random bidders. We focus on fit and quality, not lowest price. We provide extensive complimentary resources to educate boards. And we respect your time — no high-pressure tactics, no spam calls, no obligation.
